Car hire verification, in plain words.
The terms a hire firm and a renter meet on a KeyProof handover, defined honestly. Where a check is run by the operator rather than by us, this says so; where KeyProof only records rather than decides, this says that too.
Renter check-in link
The single link a hire firm sends the renter before handover. Opened in a phone browser, no app and no account, it collects the renter details, identity check, DVLA licence check, e-signed agreement and condition photos in one place. The renter keeps the same link for the whole hire.
DVLA share code (check code)
A code the renter generates for free on gov.uk (the "view or share your driving licence" service) that lets someone view their licence status, points and disqualifications for 21 days. The renter supplies the code plus the last 8 characters of their licence number through the check-in link, and the operator completes the check on gov.uk. KeyProof captures the code and records that the check happened; it never contacts the DVLA and never sees a driving record.
Identity verification
Matching a photo ID document to a live selfie to confirm the renter is who they say they are. On KeyProof the check is performed by Stripe Identity, the regulated provider, which collects and holds the document and the face image. KeyProof stores only the outcome, never the images.
Crash-and-run
When a renter damages or crashes a hire vehicle and disappears without paying, often having hired under a false or borrowed identity. Verifying who the driver is and sealing the evidence before the keys move is what turns an untraceable loss into a claim.
Deposit hold (pre-authorisation)
An amount reserved on the renter's card as security against damage, held rather than charged, then released or claimed at the end of the hire. The hold sits on the operator's own Stripe account and settles to their own bank. KeyProof is not a payment processor and never holds the deposit money; it records that a deposit was taken alongside the rest of the evidence.
Condition report
Timestamped photographs of the vehicle taken at handover and again at return, so before-and-after condition is on record. KeyProof captures the photos and never scores them: the operator decides whether any change is new damage.
Hire record and incident pack
The single dated record every hire ends in, printable as an incident pack to hand an insurer. It opens with a register naming each check as on record, not on record, or not yet due, with the gaps counted at the top, so a thin record cannot pass as a full one. See the record for how it is built.
Hash seal
A cryptographic fingerprint (a SHA-256 hash) taken of the signed agreement text at the moment of signing and written exactly once. It lets anyone confirm later that the terms the renter signed have not been altered since.
E-signed hire agreement
The operator's own rental agreement, presented inside the check-in link and signed by the renter on their phone, then hash-sealed. KeyProof does not write the terms: the operator brings their own agreement text.
PCN and fine transfer
A Penalty Charge Notice or fine issued against a vehicle during a hire. With a verified renter and a signed agreement on record, the operator has the evidence to move the fine to the person who was actually driving. KeyProof records the evidence; it does not decide who is liable.
Verification fee
The one-off per-booking fee covering the checks on a hire. It is paid by the renter, goes to KeyProof and not to the operator, and is the only charge KeyProof makes on a booking. The exact figure is on the pricing page.
MOT history check
A lookup of a vehicle's MOT record by registration, run against the DVSA MOT History service, showing every test on record with the mileage at each. KeyProof does not pull tax status today, because the DVLA Vehicle Enquiry Service is closed to new applicants.
Operator, renter
The operator is the hire firm using KeyProof: the data controller for their renters and the party that always decides whether to hand over the keys. The renter is the hire customer who completes the check-in link. KeyProof is the processor that captures and seals the evidence between them.

The free public trust page a live firm can link from its own channels, stating plainly that the firm uses KeyProof verification. It never endorses the firm's quality, never implies KeyProof vets or approves them, and never exposes renter data.
