Built around the hire, from booking to return.
For the owner of an independent hire firm: what KeyProof does at each point of a hire, and what stays your call.
Real product, sample data.
01Before the hire
Book it once. Send one link.
- Enter the car, the dates and the hirer’s mobile once. If the car is already booked over those dates, you are warned before you confirm.
- Save a draft without sending anything. A draft never counts as a booking.
- The hirer gets one private link: no app, no account. They give their details, supply a DVLA share code and sign your agreement, and their photo ID is matched to a selfie through Stripe.
- You check the share code on GOV.UK and record that you did.

02Handover
The car goes out with the evidence.
- A guided walk of named photos, each timestamped and fingerprinted when it is taken.
- A hire cannot be marked as on hire without a recorded deposit and the full handover photo set.
- The deposit is a hold on the hirer’s card in your own Stripe account, or recorded as taken your way.

03During the hire
Today shows what needs you.
- A car still out after its end date goes to the top, ahead of today’s collections and returns.
- A penalty notice is matched to the hire that covers the offence date. Where none or several match, KeyProof asks you.
- The hirer’s link becomes their hire pass until the car is back.

04Return
Back in, beside the photos it left with.
- The same photo set at return, so the car’s condition out and back sits on one hire.
- Releasing a deposit cancels the hold, so the money never leaves the hirer’s card. Keeping part of it needs a reason and a note.
- Automatic release after a clean return is optional. A hire held as evidence is never released automatically.

05After the hire
The record stays.
- Closing the hire seals the record as it stood.
- Send an insurer a read-only link that expires after 30 days. You can revoke it.
- Export a CSV of recorded payments and expenses for your accountant.

What KeyProof does not do.
So you know exactly where it stops.
- Tracking
- Overdue means past the end date. KeyProof does not track the car or its location.
- Chasing
- Chase opens WhatsApp with the message ready. You send it, from your own phone.
- Damage
- KeyProof records before and after. It never scores damage or decides whether a charge is fair.
- Double-booking
- A clash is a warning you can override, not a block.
- Your money
- Payments through Stripe settle to your own account. KeyProof never holds your money or takes a cut of a hire.
