Deposit deduction evidence.

A deduction from a renter's deposit stands or falls on what you captured, not on who argues hardest. This is not about who wins a dispute. It is the evidence chain that sits behind a deduction. Read alongside the guides on the car hire deposit and winning a damage dispute.

Informational, not legal advice. This tool is about the evidence, not the verdict. It does not decide who wins a dispute, what you may lawfully deduct, or how a chargeback will be ruled. For anything you are unsure of, check with a solicitor.

Why deductions get argued

Word against word tends to favour the renter, and a card deposit can be charged back. A deduction is not won at the return counter. It is won days earlier, at the handover, by what you photographed and what both of you signed. Capture the chain below on every hire and a deduction becomes a matter of showing evidence, not winning an argument.

The evidence chain for a deduction

  • Timestamped condition photos at handover: all four corners, roof, bonnet and boot, the interior, and close-ups of every existing mark, in good light.
  • The same angles at return, before the keys leave the renter's hand.
  • Both photo sets clearly dated, by timestamp or by being sent into the booking chat so the thread dates them.
  • A signed condition record at both ends, so the starting state is agreed, not asserted later.
  • Any new damage photographed close-up and acknowledged in writing at the return, while both parties are present.
  • A repair quote or invoice, so the deduction is sized to a real cost rather than a round number.
  • The deposit itself written down: amount, method, and the date it was taken.

Keep the conversation short and factual

When a deduction is questioned, the strongest position is the quiet one: the handover photo and the return photo side by side, the repair quote, and a settlement date. The evidence carries the conversation. The damage dispute guide covers handling a chargeback and when a matter heads to small claims. To capture the photos in order at both ends, use the handover checklist.

A KeyProof record holds the before-and-after photos and a signed condition record on the booking itself, timestamped and bound to a verified renter, so the evidence chain is already assembled when a deduction is questioned. See how it works.

Let the evidence do the talking.
