What KeyProof does for you

KeyProof captures the proof at every handover, so the day a hire goes wrong you are never stuck on your word against theirs. For every car you send out, you get one clean record: who the renter was, that they were cleared to drive, your agreement signed, and exactly how the car looked when it left and when it came back.

It fits the way you already work. You send your renter a link in the same Instagram or WhatsApp chat you booked them in. They tap it, prove who they are on their phone, and it all lands back in your Fleet Portal. There is no app for them to download and no account for them to make.

Under the proof, the portal also runs the day to day: bookings, an availability calendar, your fleet, the money on each hire, and any fines that land after a car goes out.

Logging in

Your login is set up when you join. Go to the login page and sign in with the email you were set up with. Firm owners land in their HQ; if you are a member of staff added to a firm, you land straight in that firm's portal.

You do not need a separate password to remember for KeyProof. Sign in with your email and follow the prompt on screen.

If you cannot get in, check you are using the exact email address that was added to the firm, then ask your firm owner to confirm your login is on the list (see Settings and team).

The Today screen

Today is your home screen. It answers "what needs me right now" before you go looking. You will see:

  • Get set up: a short checklist that appears while you are new, so nothing important is missed on day one.
  • Your numbers: active hires, bookings this month, renters verified, and how many cars are due back.
  • Fleet attention: any car whose MOT, tax or insurance is expired or due soon, with a jump to the Fleet screen.
  • Do next: a single queue that pulls together cars due back, renters who still need to check in, bookings ready to hand over, and fines to action. When it is empty you will see "You're all caught up".
  • On hire: the cars that are out right now.
  • Activity: a running feed of what has happened across the firm.
  • Your plan: your subscription at a glance.

Getting help

Each part of the portal has its own guide in this help centre. If you are about to send your first car out, the natural order is: raise a booking, then send the renter link, then returns and condition when the car comes back.
