Returns, fuel and mileage

Log the return, record fuel and mileage at both ends, and close the hire once the paperwork is done.

Logging the return

When the car comes back:

  1. Open the booking.
  2. Photograph the car again, the same angles as your handover shots. See Condition photos, before and after.
  3. Mark the hire as returned. You will see "Return logged".

Fuel and mileage

Each booking has a fuel and mileage log so you can prove usage as well as damage:

  • At handover, record the mileage out and the fuel level, then save. The fuel levels are Full, 3/4, 1/2, 1/4 and Empty.
  • At return, record the mileage in and the fuel level, then save.

KeyProof works out the miles driven on this hire from the two readings, which is what you need to back an excess-mileage charge.

Before you close it

Returned and closed are two different things, and the gap between them is where the work happens. While a hire sits at returned you can still add photos, settle the deposit, add a late-return charge, and your hirer can leave you a review. See Ask the hirer for a review and Charging for a late return.

Closing the hire

Closing seals the record for that hire: the hirer's verified identity, what was checked about their licence, your agreement signed and bound to the booking, the condition photos at both ends, the fuel and mileage, and the deposit. After that the record cannot be edited, and the hirer's link goes quiet. See The sealed record and incident pack.
