Charging for a late return

Record what a renter owes you for keeping the car past its due date, worked out from your own daily rate.

A car kept past its due date costs you the next hire. When a hire runs over, you can record what the renter owes without doing the sums yourself.

How to record it

  1. Open the booking. The option only appears once the hire is actually overdue: still out, and past its return date.
  2. Choose Record late-return fee.
  3. KeyProof suggests a figure: the number of days over, times the daily rate on that car. It shows you the working, so you can see where the number came from.
  4. Confirm it, or type your own amount. Then tap Record fee.

If the car has no daily rate saved, there is no suggestion and you simply type the amount.

Where it lands

The amount is added to the extras on that booking, with a note saying how many days late it was. It does not wipe out any extras already there, it adds to them. The total and the balance owing update straight away, and it appears on the invoice like any other extra.

Nothing is charged to anybody. This records what is owed. You collect it your own way and log the payment, or claim it against a deposit you are holding, exactly as you would with any other money on the hire.
