The seven setup steps
The Get set up card on your Today screen: what each step does, what you can skip, and how it knows when you are finished.
Your portal is created for you. There is no public sign-up on the KeyProof website: somebody at KeyProof sets your firm up and puts your email address on it, so the first time you open the portal your firm already exists and you are already its owner.
The Get set up card
While you are new, a card headed "Get set up" leads your Today screen, above the Priority actions queue, and steps aside once you declare the firm set up. An owner sees seven steps, or eight where the firm pays its subscription by card, because adding that card gets its own step. Staff see one of them, because the rest are owner-only settings, and a staff login is never held short of finished by a step it cannot reach.
Each step finishes where it stands. Open one and the real control is inside it: the same agreement editor, the same Stripe connection, the same team card that Settings uses. Nothing sends you off to another tab to go and find it.
The steps
- Add your cars. The cars you hire out, so each one is a single tap on every booking. Registrations on their own are enough to start with. See Adding cars, rates and compliance.
- Set your hire agreement. The wording hirers read and sign at check-in. It is yours, not KeyProof's. See Your hire agreement and eligibility rules.
- Connect Stripe for deposits. Card holds run on your own Stripe account and settle to your own bank. Only you can do this, because Stripe verifies your business, so nobody at KeyProof can do it for you. See Deposits and card holds.
- Add your logo. It goes on the hirer's check-in link and on the printed hire record, so what your customer opens looks like it came from you.
- Invite your team. Give staff their own login so handovers are not done from your phone. See Team access, branding and the blocklist.
- Set your hire rules. Your insurer's limits, written down once, so they turn into a confirm-at-handover checklist on every booking.
- Add your card, if your firm pays its subscription by card. Your free days run from your setup rather than from the card, and nothing is charged when you save it: the card is asked for before the free days end. The step appears here, ahead of your first booking, because a card-billed firm with no free days running has that booking refused until a card is on file. Firms billed another way never see this step.
- Raise your first booking. Create a hire and send the hirer their check-in link. This is the whole product in one go. See Create a booking.
Skipping what you do not need
Every step can be skipped except adding cars, the first booking, and (where it appears) adding your card. Without the first two there is nothing for KeyProof to do, and the card step only ever appears for a firm whose booking would be refused without one. A firm that takes deposits its own way, has no logo, or runs single-handed skips the rest in one tap, and Undo skip brings a step back whenever you change your mind. A skipped step is reported as skipped, never as done.
How it knows a step is finished
None of this is a tick you set. Each step reads the real thing: a car exists on your fleet, your agreement wording is not empty, Stripe reads connected, a logo is stored, a staff login exists, one of your hire rules is filled in, a card is on file, a booking exists. Remove the thing and the step opens again, which is why the card never drifts out of step with your account.
Only two things are stored, because neither can be read off anything else: which steps you skipped, and the moment you said you were ready. Both sit against your firm rather than your device, so closing the app, coming back tomorrow, or picking it up on a different phone all resume where you left off.
Finishing
When nothing is outstanding the card does not quietly empty out. It offers "We're ready", and once you confirm, the whole card is replaced by one line saying you are set up and ready to hire. Reopen setup brings the steps back if you want to run through them again later.
The card blocks nothing. Hide it and use the portal in full while steps are still outstanding: it is a walkthrough, not a gate.
