Your hire agreement and eligibility rules
Set the wording your hirers sign, the rules you hire by, and your firm contact and notification email.
Settings is where you set the things that apply across your whole firm: your hire agreement, your eligibility rules, your contact details, and your message templates.
Your hire agreement
The agreement is your own wording. KeyProof does not write it for you; it captures the hirer's signature on it. In Settings, open the agreement section and set the text your hirers read and sign at check-in. When a hirer signs, KeyProof binds that exact wording to their booking. Only the firm's owner can edit it.
If the box is empty, you can insert a starter text to edit. It is not saved until you read it and press Save, and it never overwrites wording you have already written. There is also a free agreement template generator that builds a UK hire agreement you can paste in.
If you send a hirer link while the agreement is empty, KeyProof warns you first: the hirer would be signing over nothing.
Eligibility rules
These are your insurer's limits, written down. Set a minimum age, a minimum number of years the licence has been held, and a maximum number of penalty points. They appear as a confirm-at-handover checklist on every booking.
They are advisory. KeyProof does not hold a hirer's penalty points or licence history, so it cannot check them for you, and it never blocks a hire on its own. It shows you the rule; you confirm it against the licence in your hand. Leave a field blank to skip it.
The same card is where you set which licences you accept: GB only, GB plus EU and EEA, or worldwide with a manual check. That is an insurance decision, so it is yours. See Licences issued outside Great Britain.
Contact, notifications and templates
Set your firm's contact name and phone, and the notification email. Alerts and the morning brief go to your portal login address, falling back to that notification email.
