Swap the car on a live booking
Change the car on a booking that is already made, and what it means for an agreement the hirer has already signed.
Sometimes the car changes after the booking is made: the booked car is still out, goes in for a service, or the hirer is moved to a different vehicle. You can change the car on a live booking without starting again.
How to change the car
- Open the booking and choose Change vehicle.
- Pick the new car from your saved fleet. Any car already out on another hire over these dates is greyed out in the list.
- Confirm. The booking now shows the new car, and the change is written to the booking's timeline so there is a record of what was swapped and when.
The hirer's check-in, their verified details, and everything already captured stay with the booking. You are changing which car the hire is against, not resetting the hire.
If the hirer has already signed
Read this before you swap a car on a booking that is already signed. The signed agreement names the car the hirer signed for, and it stays sealed that way: that is the whole point of a sealed record. Re-sending the link will not get you a new signature, because the check-in is single use once signed.
KeyProof tells you this on screen when it applies. If you need the new car signed for, raise a fresh booking for it.
If the new car is already on hire over these dates you get the same clash warning as anywhere else, with the option to go ahead anyway. See The calendar and clash guard.
