Know your renters

The Renters directory: every verified renter with their hire history, total spend from your own ledger, verification and reliability counts, and your private notes.

Every renter who completes a check-in lands in your Renters directory, inside the Bookings room, one tap along from the list. It is the customer book most hire firms keep in their head, written down: who has hired from you, how often, what they spent, and how each hire went. A returning renter is matched by phone number, so the history follows the person, not the booking.

The directory

Each row shows the renter's name, their contact details, how many hires they have had and when the last one was, and, once you have logged payments, what they have paid you in total. A renter with more than one booking carries a Returning tag. Search by name, phone, email or the vehicle they hired, and use Call, Rebook or View hires straight from the row: Rebook starts a new booking with their number and their last car already filled in.

The renter record

Open Profile on any row and you get the full read on that person, drawn from your own hires with them and nothing else:

• Identity: the name, date of birth, address and contact details from their most recent completed check-in.
• Summary: total hires, total spend, first and last hire, and the deposits you have recorded. Total spend is your own paid ledger summed across their hires: real logged money, never an estimate.
• Verification and reliability: on how many of their hires the ID check passed and the licence was checked, whether they have a car out overdue right now, deposit money actually withheld for damage, and any fines or disputes on record. Facts only. There is no invented score, because a number nobody can explain is not evidence.
• Their hires: every booking with its dates, status and verification chips. A carried-forward ID check is labelled as carried forward with the original date, and a non-GB licence reads inspected, never verified. Each row links to that hire's record.

Private notes and the flag

Each renter record carries your own private notes, and a flag for anyone you want a warning about next time. If a renter is on your blocklist, the record says so at the top, with your reason. All of it is advisory: KeyProof warns, it never blocks a booking on its own. See Team access, branding and the blocklist.

The directory is your firm's own private history, built from your own bookings and never shared with any other operator. It follows the same retention as everything else: booking records auto-delete after 24 months, and your notes on a renter are removed once no checked-in booking for that person remains. Where it shows up on a new booking

When you raise a booking for a mobile number you have dealt with before, the form tells you: a known-renter tag with their history, and a warning if they are flagged or on your blocklist, before you go any further. See Create a booking.
